Job Description
OVERVIEW
Book events, weddings and receptions, corporate meetings and retreats, family gatherings. Collaborate with clients, marketing team, negotiate with vendors, coordinate with staff to set-up and teardown.
RESPONSIBILITIES
- Drive Sales, awareness and revenue generation for Bay Harbor’s unique venue spaces
- Plan, create and produce various events and manage all delivery elements on deadline
- Manage each event from start to finish
- First point of contact for every potential customer wanting to book an event through online inquiries and tours – professional appearance, verbiage and guest services a must
- Discuss with clients to find out what their expectations are and how to meet them
- Research the market and negotiate contracts with providers and other partners
- Offer constant feedback with clients
- Come up with original, imaginative ideas for the event and implement them
- Organize locations, setting, the list of attendees, and particular requirements about logistic issues
- Coordinate staff, and keep in contact with the marketing department to grow the business
- Stay proactive and find solutions to any emergency issues that might arise on the day of the event
- Conduct research before and after the event and provide activity report to the clients
- Keep all contracts and events up to date in system and hard copies for entire team – manage all deposits for venues in system
- Manage all food and beverage invoices for each event and be sure they are properly paid for before the event
- Attend professional organization events throughout the year. MMPI, MSAE, and other meetings to meet meeting planners and stay connected in the field. Some travel will be necessary.
- Work with the event team to assist with the implementation and execution of Bay Harbor’s Community public events as needed.

- Ability to stay calm under pressure, and have problem solving attitude with ability to and willingness to compromise
- Organizational skills – ability to handle stress and easily respond to problems with can-do/ imaginative solutions, never take no for an answer
- Negotiation skills – be in constant contact with clients, conduct research, negotiate vendor contracts and handle a variety of logistic issues
- Management skills – efficiently organize your time in order to gracefully meet any tight deadlines. Delegate detailed tasks to your teammates.
- Self-Disciplined enough to work remotely whenever necessary.
QUALIFICATIONS/EXPERIENCE
- Excellent communication, organization, and time management skills
- Possess multi-tasking skills for good management of projects and assignments
- Excellent work ethic and respect for others
- Ability to work with very tight deadlines
- Hospitality or Administrative Management experience – 3 years
- Coordinating events – 1-year experience preferred
- Bachelor’s degree considered beneficial
- Able to work evenings and weekends, with weekdays adjusted for time-off. Flexibility in scheduling is a necessity.

Building and Grounds Maintenance
This year-round full-time employment opportunity is eligible for benefits; healthcare, dental, vision, 401(k), and paid time off.
Responsibilities may include, but are not limited to:
- Maintain district buildings and grounds areas as needed and/or assigned for the purpose of providing effective working environment, preventing damage and/or limiting liability exposure
- Arrange furniture and equipment for the purpose of providing adequate preparations for special events
- Adhering to safety and security practices, handling cleaning solvents and/or necessary repair products (i.e., paint, adhesives)
Additional Requirements:
- Excellent communication skills, written and verbal
- Maintain clean and professional appearance, wearing proper uniform
- Available to work weekend and holidays
- Generally the job requires 80% walking, 15% standing, 5% sitting
- Requires ability for lifting, carrying, pushing and/or pulling, climbing and balancing, bending, frequent stooping, kneeling, crouching and/or crawling
Experience:
- High School education or equivalent
- Being able to follow instructions is beneficial
- We offer training for those with no prior experience
Salary: $15 to $17 per hour

Housekeeping Manager
Job Description
OVERVIEW
Lead a professional housekeeping team based in the Village of Bay Harbor. Cleanliness of the Village Suite condos, Village public space, Marina public space, Swim Club and the Bay Harbor Building is the key role of this position.
RESPONSIBILITIES
- Drive your team forward towards continuous improvement of the housekeeping operation.
- Coordinate staff, on a daily basis, to be organized and efficient.
- Hold one or two team meetings per day.
- Train and retain new team members.
- Assert a firm, fair and consistent approach when leading the team.
- Ensure that all condos are impeccably clean for guest arrivals and owner arrivals.
- Ensure that all public spaces are impeccably clean.
- Report any damage upon guest departures to our management team.
- Inspect your team’s work and hold them accountable to five star standards.
- Create a work environment full of respect, high expectations, and continuous improvement.
- Knowledge to work under the financial guidelines of a profit and loss statement– Working within your budget.
- Scheduling staff members to meet the demand of the operation.
- Report directly to the General Manager of the rental operation.
- Attend weekly management meetings and operation meetings.
- Hire team members and work with an international travel program to successfully hire students from other countries.
